【Exchange Students】 (Including Double Major / Minor Exchange Students)
(1) I am going abroad! What should I pay attention to?
Please refer to the Office of International Cooperation (OIC) website and make sure to complete all necessary procedures:
Pre-departure Preparation: https://oic.nccu.edu.tw/Post/291
Returning Preparation: https://oic.nccu.edu.tw/Post/292
Alumni Experience Sharing: https://oic.nccu.edu.tw/Category/579
Once you are selected by a host university, regardless of whether you are ultimately able to go abroad, you MUST submit the "Course Selection Application for Study Abroad" to complete the administrative procedures. Failure to do so is equivalent to forfeiting your exchange student status. (The intended elective subjects must be filled out; do not leave them blank.) The Department Office will assist department majors with submitting the application. Submissions are collected centrally before the end of June and the end of December (announcements will be made in the departmental Facebook group).
If you complete the study abroad course selection procedures before the university tuition payment deadline, you can have your registration fee bill updated in advance. Otherwise, you must pay the registration fee first and apply for a refund after the procedures are completed.
Please review your currently uncompleted required and core elective courses. When selecting courses abroad, prioritize those that are similar or related to these required courses so that you don't spend a year abroad without being able to waive any required/core elective credits.
All credits earned in Japan, even if they cannot be used to waive required/core elective credits, can be counted as general elective credits. This applies regardless of whether our Department offers the course or if it's currently open this semester. However, please note that credits MUST be recorded on your official transcript to be waived. Courses that offer no credits and only issue a certificate of attendance cannot be used for credit waivers.
To waive required/core elective courses, you MUST keep the course syllabus, handouts, and your class notes. These are strictly necessary to process the credit waiver; without them, the waiver cannot be granted.
Three Core Principles for Planning Course Waivers Before Going Abroad:
Primarily Plan for Waiving Required Courses: Credit waiver planning should focus primarily on required courses. Waivers for required courses are reviewed by the Department Office or the relevant course instructors. (Minor required courses are reviewed by the Department Office).
For core elective course waiver guidelines, please refer to: https://japanese.nccu.edu.tw/PageDoc/Detail?fid=2324&id=3805
Japanese elective courses are reviewed by the Department Office. (For elective courses, only a simple course syllabus is required, but you MUST provide one).
Match Field for Field: The content of the course taken abroad must be highly relevant to the content of the course you wish to waive.
Match Credit for Credit: You can use a higher number of credits to waive a lower number of credits, but not vice versa. If a subject has too few credits, you must take additional courses in the same field to accumulate enough credits. If the course taken does not use a credit system on the transcript, you may use teaching hours for the waiver. Similarly, you must use more hours to waive fewer hours. (Note: Courses that only provide a certificate of attendance cannot be used for credit waivers).
(2) I've heard that applying for credit waivers after returning to Taiwan is very troublesome. Is that true? Please follow the steps below, and the process will be quite straightforward:
I. Upon your return, you must present the following documents for verification by the Department Office and approval/signature by the Department Chair before credits can be waived:
"NCCU Student Application Form for Credit Waiver for Study Abroad" (see attachment, and refer to the provided example).
"Course Syllabus," "Teaching Materials/Handouts," "Class Notes," "Final Report," or "Other materials" (Mandatory for required/core elective courses; for elective courses, only the "Course Syllabus" is required).
"Official Transcript" (Mandatory; a temporary electronic copy is acceptable).
II. After the "Credit Waiver Application Form" is signed and approved by the Department Office and Department Chair, you must personally submit the following documents to the Curriculum Section / Registration Section:
"NCCU Student Application Form for Credit Waiver for Study Abroad"
"Official Transcript" (A photocopy is acceptable initially).
Important Notices!!
Students must submit their credit waiver applications before the 1/3 mark of the semester following their study abroad period (refer to the University Academic Calendar). If you do not intend to waive any credits, you MUST submit the "Affidavit for Forgoing Study Abroad Credit Waiver" (see attachment).
You may attach a photocopy of your transcript first, but you must provide the university with the original copy later.
The credit waiver process requires students (or a designated relative/friend) to submit the documents in person. Please do not send them by mail. We appreciate your understanding.
Credit waivers for elective courses are verified solely by the Department Office; instructor approval is not required.
All credit waiver approvals are evaluated based on the supporting documents provided for the actual courses taken, which must be submitted upon your return.
You can apply for waivers after returning, but you must bear the risk of a waiver being "denied." (If you are concerned, please consult with the Department Office or the relevant instructor beforehand).
Students opting not to waive any credits must still fill out the "Affidavit for Forgoing Study Abroad Credit Waiver" and attach their transcript.
Please pay close attention to the deadlines for all application items and try to complete your document submission and application procedures as early as possible. There are often cases where students rush to submit applications on the final day, encounter unexpected issues, and fail to smoothly process their exchange or waivers. To protect your own rights, please be mindful of all deadlines. (Please try your best to avoid submitting documents on the very last day!!!!)
